Here’s our simple, realistic content batching process. It takes under 2 hours a week, there is no 50-step approach, and there are no middle of night Canva meltdowns. Just a routine that is time efficient and actually works.
Step 1: Start With a Plan
Before we even open Canva or Instagram, we take a moment. Ten minutes, that’s it.
We ask ourselves:
What do I actually need to post this week?
Are there any promos, reminders, or goals to support?
We used to skip this step and just post on the fly. Spoiler alert: it didn’t work.

Step 3: Batch by Task, Not Platform
Here’s where it gets good.
Too many creators get stuck in the cycle of producing one post at a time. They will design the graphic for one post, write the caption for that post, and then go ahead and schedule it. Then they repeat these steps over and over again.
We batch by task. This means we design all graphics at once, write all the captions at the same time, and schedule everything in one go.
No jumping between apps. No overthinking every step. Just a smooth, focused workflow. This alone cut our content creation time by half.
So naturally, we spent the rest of the day watching the Coldplay concert scandal unfold from 37 different camera angles.
